Consultancy firm Mixit helps clients with adoption and implementation of intranet and digital workplace concepts. Mixit believes that employees inside your company achieve what you promise outside your company. One of the pillars of Mixit is that it is driven by user focus in its design and consultancy thinking. Mixit uses Upinion together with other tools to engage end users into ongoing research during its projects.

Social intranet project are run by Kim, she is the Operational Product Owner. She knows what end product should be and translates users/stakeholder needs into design and technical solutions.

Challenge

One of our clients asked us to improve the document usage and storage within their company. For this project we wanted to engage employees, who are spread over multiple locations across different countries. Because we wanted to involve all of them, we were looking for a solution to handle them onto one platform, where they would feel part of the project and could respond in the moment.

What we have done before is a diary study on paper. During this study we got to know the latent needs of the employees. After this diary study a physical workshop was set up to deepen the input of the employees. Next to that we send out online surveys, but this resulted in low responses. Email surveys are often not engaging enough to activate user participation, therefore we set up personal interviews or group sessions to get enough responses from users, though this is very time consuming.

Solution

Kim felt implementing Upinion could make a big difference in the user engagement and research response rates for this project. Kim registered online and tested the platform. We sent out invitations to our respondents to take part in our user research and also pushed Upinion Messenger to employees' phones via the company's Mobile device management software.

"Upinion provided the perfect business solution to engage users in real-time research"

Once we had the users on board, we started with a diary study format. The Upinion platform offered the right features to do that. We timed our questions for respondents and could zoom into certain respondents if we wanted to ask more questions during different time windows. The fact that we could tap into users in real time by using push notifications meant that we could now schedule questions to be sent out every workday at a set time. All we had to do is simply add a time condition and the set of questions would repeat themselves at that day and hour. The date-time condition feature offered the ideal solution.

Results

Upinion offers a very low key participation for respondents, where we can give small tasks combined with research questions that only take seconds to answer, making user participation natural and pleasant. Through the Upinion Messenger we increased user participation with our employees.

We can target respondents in different groups at the same time, while we can cross use questions and conversations. This feels like we never have to start over again, we can create/copy/add conversations, questions and drag drop where needed, the system handles the requests at ease.

We love the variety and freedom to adjust our research on the go. By having ongoing insights we create new questions. We have used Upinion for concept testing, diary studies, HR research, customer satisfaction and will do more in the future.

It requires work to get everybody on board, but ones you have them, the response rates are tremendous, especially when you compare it to online surveys. The effort on the Upinion platform lies at the beginning of your project, but once your group is on-boarded and active it offers amazing benefits and research possibilities.

"We managed to meet our quality expectations and delivered a great intranet platform to our client, where the employees have been part of designing the solution. We were able to obtain insights to constantly improve the customer experience, make fewer assumptions about our customers and engage with them in the moment."
